Booking Policies, Procedures and General Studio Usage Guidelines
Security Issues:
Only those individuals enrolled for credit in a course taught in the Center for Audio Recording Arts (CARA) will have access to the facility. Furthermore, depending on the course and the level of the students technical skills, as designated by the various courses, various aspects of the studio will be available for use. No keys for the facility will ever be issued to students.
It is crucial that no guests be invited into the CARA facility without prior clearance and that you do not allow any persons without identification into the facility under any circumstance. Failure to comply with this rule and other rules of the Center will result in your being dropped from the course and/or the loss of studio access.
Laboratory Fee and CARA CARD:
In keeping with policies in place elsewhere in the School of Music and in other academic departments there will be a Laboratory Fee in effect for each of the studio courses offered in the Center for Audio Recording Arts. This fee is necessary for studio maintenance costs and upgrades. The fee is $50.00.
To pay your fee go to the University Bookstore and purchase Cash Cards. Bring these cash cards to the Allen Barret in the School of Music Office, 5th Floor of the Haas Howell Building, for payment by the end of the first week of the semester. You will be given a receipt for the transaction. Bring this receipt to me for the issue of an official CARA ID Badge. Studio bookings and reservations will be denied until you have paid your fee and been issued a CARA ID.
 
CARA STUDIO RULES - THE BASICS:
1. No food or drink in the studio complex.
2. Do not bring backpacks, coats, umbrellas or the like to the studio - store these in a School of Music Locker. For locker assignment see the School of Music Office.
 
3. Do not make excessive noise or behave disruptively in the studios. This is a professional working environment and other people are working.
 
4. Do not use excessive volume in any of the studios.
5. Do not bring unauthorized guests into the studio complex.
6. Do not remove or alter any of the equipment, manuals or supplies in the studios.
 
Student Recording Project Guidelines:
Following these simple guidelines will make our lives at CARA pleasant and interesting. Failure to follow them could result in being dropped from the course you are taking or from the program. So, please take a moment to familiarize yourself with this document and follow the provisions set forth.
Student Recording Projects are those activities that are associated directly with course work and/or are those projects which are important to the further professional and technical development of authorized persons with the Center for Audio Recording Arts and as authorized by the Director of CARA (Dr. Thompson).
 
1. Only those students who have a valid CARA ID badge may be involved in organizing recording projects. All other persons are considered guests except School of Music Administration members and CARA Staff, Interns, Research Assistants and Laboratory Assistants.

 
2. In general, recording projects should take place during individual, assigned, studio times. The general studio allocation is as follows - MTM 3130, 3230, 4900 - Studios A, B and C; MTM 3120 - Studios B and C; MTM 3110 - Studio C; MUS 4981/6981 - Studio M  With this in mind, make certain that the project proposed can be realized in a given studio and is one you have access to.

 
3. The general studio guidelines contained in the syllabus for your courses apply for all sessions held within CARA. Please adhere to them.

 
4. You are responsible for the actions of those musicians you record during your projects.
5. It is crucial that your session begin on time and end on time. Sessions must end when scheduled as a courtesy to others working in the complex.
 
6. You are responsible for leaving the studios in a better condition than you found it in. Please be careful with the equipment, the stretched fabric walls and wood floors of our facility.
 
7. Keep a LOG BOOK - JOURNAL entry of each session you do. Be detailed in your note keeping. This is an important habit to get into for the future and the LOG BOOK will be turned-in for evaluation at the end of the semester. Note all musician's names - phone numbers. Describe the session in detail. Provide any insight into problems encountered and/or solved.
 

BOOKING SESSIONS
1. Sessions may be booked up to two weeks in advance. If booking for a special project is needed farther ahead of time see Dr. Thompson and a special accommodation may be possible.

 
2. Students may book four hours per studio per week. Furthermore, only one booking per week (if available) may be for an overnight (O/N) session (if authorized). Please note: not all students are authorized for overnight sessions. This depends on the course level.
 
3. If you must cancel as session it is your responsibility to do so at least 48 hours ahead of time and make your cancellation known to the CARA community via email. Furthermore, you MUST contact Dr. Thompson via email to have your session removed from the schedule. Failure to follow this guideline will mean a forfeiture of the hours allotted to that session from your bank of available hours.

 
4. Each student will receive at the beginning of the semester a band of available hours from which to "purchase" studio access. This bank will be allocated as follows.

Total Bank = $3000.00 per student Total Bank = $1500.00 per student
Studio A = $120 / h - $120 surcharge O/N Studio A = $120 / h - $120 surcharge O/N
Studio B = $95 / h - $95 surcharge O/N Studio B = $95 / h - $95 surcharge O/N
Studio C = $75 / h - $75 surcharge O/N Studio C = $75 / h - $75 surcharge O/N
Overnight sessions (O/N) count as hour hour sessions plus the surcharge amount.
Additional funds for the "bank" are earned by making high scores on quizzes and exams and by offering significant community service in CARA - such as studio redesign and development, routine maintenance, clerical and office assistance in CARA, cleaning and so on.
   
5. Book sessions by doing the following steps: 1) check the SCHEDULE for the CARA complex and 2) send an email to Dr. Thompson requesting the session at least 7 days in advance. Session requests not made 7 days in advanced will not be filled. 3) print out and FULLY complete a CARA SESSION BOOKING FORM 4) Take the form to Dr. Thompson for his authorizing signature. 5) Take the signed form, together with a valid CARA ID card to the SOM office for key check-out. The SOM staff will check the completeness of your booking form and the validity of your booking on the online SCHEDULE, so it is important that you complete all steps and book your sessions well in advance.
 
  Sessions are on a first-come, first-served basis. Booking is limited to one session in each of the three studios per week. Dates and times of emails will determine the order of priority for sessions.
6. Please return the keys promptly after your session. This is especially crucial if you have an O/N booking. Failure to return keys promptly will result in penalties such as loosing O/N booking privileges and/or studio access.
 
7. Sessions booked but not logged in the CARA Studio Log Book associated with the studio booked will be deducted from your "bank" as paid. If you will not use a session be sure to cancel it ahead of time and according to these guidelines. If your session is not cancelled and also unused you have bought that studio time!
 
Losing "Bank"
1. Turning in the keys late = $530.00 bank per occurrence. This is one 4-hour "A" session plus the surcharge. Each time this happens the penalty will double!
 
2. Requiring faculty and staff to call on the phone to hunt the keys down = $480 (would be in addition to #1 above). Each time this happens the penalty will double.
 
3. Failure to sign the log book and appropriately log each and every session = $480 per occurrence. If you are on the calendar and you have not signed the log the bank deduction will be automatic!
 
4. Leaving the studio in an un-normalled state, equipment running, power on, lights - and/or, dirty, in disarray = $480 per occurrence (this needs to be noted by the "next" user and logged via private email to me).
 
5. Leaving the microphone cabinet in disarray and in a state less than PERFECT = $480 per occurrence (this needs to be noted by the "next" user and logged via private email to me).
 
It is up to you to protect our studio environments and report studio abuses, and up to me to enforce penalties. Careless usage of the studios cannot be tolerated by the community and is extremely disappointing.

b. vacuuming and dusting = $240 (entire floor, including ST1112 and ST1114)
